HaulLynx Privacy Policy
This Privacy Policy explains how HaulLynx Inc. (“HaulLynx,” “we,” “us,” or “our”) collects, uses, discloses, and protects personal information when you use our websites, applications, marketplace, communications, and related services (collectively, the “Services”).
This Policy applies to carriers, drivers, fleets, brokers, equipment owners and renters, administrators, prospective customers, website visitors, and other people who interact with the Services. It does not apply to information processed solely on behalf of a business customer under a separate data-processing agreement, where that customer’s privacy notice controls.
1. Personal Information We Collect
Depending on how you use the Services, we may collect the following categories of personal information.
Account and identity information
Name, email address, phone number, username, authentication records, profile photograph, business affiliation, role, account preferences, and identifiers associated with your account.
Business, regulatory, and verification information
Company name, business address, tax and entity information, motor-carrier or broker authority information, DOT or MC numbers, licensing information, insurance information, beneficial-owner or representative information, operating status, compliance records, and documents submitted for onboarding or verification.
Driver and workforce information
Driver identifiers, assignments, qualifications, vehicle associations, hours-of-service information, safety or compliance status, dispatch information, and related employment or contractor information provided by you, your organization, or an authorized integration.
Transaction and financial information
Subscription status, purchases, bookings, prices, fees, payouts, refunds, disputes, settlement records, invoices, and limited payment information. Payment providers such as Stripe may collect and process bank-account, card, identity, or tax information directly under their own terms. HaulLynx generally receives tokens, account identifiers, status, and transaction metadata rather than complete payment credentials.
Freight, marketplace, and operational information
Loads, lanes, rates, bids, bookings, equipment, cargo descriptions, origin and destination information, appointments, trip status, documents, proof of delivery, detention events, messages, claims, and other operational records.
Location, vehicle, and telematics information
Precise or approximate location, route, mileage, timestamps, vehicle and trailer identifiers, engine or device events, electronic logging device data, hours-of-service data, and related telematics when supplied by your device, your organization, or a connected service and permitted by applicable law and your settings.
Communications and content
Messages, support requests, call or meeting details, feedback, uploaded documents and media, and other content you submit through the Services. Where legally permitted and disclosed, communications with support or platform features may be monitored or recorded for security, quality, or support.
Device, usage, and internet activity
IP address, device and browser type, operating system, app version, language, identifiers, log data, pages or features used, clicks, referring URLs, diagnostic information, crash data, and security events.
Preferences, inferences, and intelligence outputs
Saved searches, preferred lanes, equipment preferences, notification choices, and inferences or recommendations generated from market, transaction, relationship, compliance, and operational signals. These may include compatibility indicators, risk signals, lane insights, ranking factors, or other Lynx Intelligence outputs.
Information from third parties
Information from your organization, other Marketplace Users, payment processors, identity or compliance vendors, insurers, public databases, government sources, ELD or telematics providers, integration partners, and other services you direct us to connect.
2. How We Use Personal Information
We may use personal information to:
- provide, operate, maintain, and improve the Services;
- create and secure accounts and determine authorized roles and permissions;
- onboard and verify users, organizations, authority, insurance, and eligibility;
- enable load, lane, rate, equipment, booking, payment, settlement, and communication workflows;
- provide search, ranking, matching, analytics, recommendations, and Lynx Intelligence features;
- personalize the Services and remember settings and preferences;
- process subscriptions, transactions, payouts, refunds, disputes, and taxes;
- support safety, compliance, fraud prevention, sanctions screening, and platform integrity;
- investigate incidents, claims, complaints, policy violations, and technical issues;
- communicate about accounts, transactions, updates, security, support, and—where permitted—products or services;
- measure performance, understand usage, conduct research, and develop new features;
- comply with law, legal process, contracts, and regulatory requirements; and
- establish, exercise, or defend legal rights and protect users, HaulLynx, and others.
We may deidentify or aggregate information and use it for lawful business purposes. We will not attempt to reidentify information that applicable law treats as deidentified unless permitted to test our deidentification processes.
3. Lynx Intelligence and Automated Processing
HaulLynx may use algorithms, statistical models, and artificial-intelligence tools to organize information, identify patterns, rank options, generate summaries or recommendations, detect anomalies or potential fraud, and support operational decisions.
These tools may process account, freight, equipment, location, relationship, transaction, compliance, and usage information. Outputs may be incomplete or inaccurate and are designed to support—not replace—human judgment. Where required by law, we provide applicable rights concerning decisions that produce legal or similarly significant effects.
We may use service providers to help deliver these capabilities under contractual and security controls. Whether content is used to improve a particular model or feature depends on the applicable service, provider terms, configuration, and customer agreement. We do not represent that every interaction is excluded from all model improvement unless we expressly make that commitment for the applicable feature.
4. How We Disclose Personal Information
We may disclose personal information as follows.
Within a transaction or business relationship
We disclose information to carriers, drivers, fleets, brokers, equipment owners, renters, and other authorized users when needed to evaluate, arrange, perform, document, settle, or support work. The information visible to another user depends on roles, permissions, transaction status, and applicable settings.
Service providers and contractors
We may disclose information to providers that support hosting, cloud infrastructure, authentication, communications, mapping, analytics, customer support, security, verification, insurance workflows, document processing, payment processing, and professional services. They may process information only for authorized purposes and subject to appropriate contractual obligations.
Payment and financial partners
We disclose information to Stripe and other payment, banking, tax, or fraud-prevention providers to process transactions, establish connected accounts, verify users, prevent abuse, and comply with financial laws.
Connected services and integrations
When you or your organization enables an integration, we may exchange information with the connected provider, such as an ELD, telematics, mapping, identity, compliance, insurance, or business system. The provider’s own privacy terms may also apply.
Legal, safety, and compliance disclosures
We may disclose information when we reasonably believe disclosure is required by law, legal process, regulation, or government request; necessary to investigate fraud, security, safety, or policy issues; or appropriate to protect the rights, property, or safety of HaulLynx, our users, or others.
Corporate transactions
We may disclose information in connection with a financing, merger, acquisition, reorganization, sale of assets, bankruptcy, due diligence, or similar corporate event, subject to customary confidentiality protections where appropriate.
With your direction or consent
We may disclose information when you direct us to do so, consent to the disclosure, or intentionally make information public.
5. Sales, Sharing, and Targeted Advertising
HaulLynx does not sell personal information for money. Some privacy laws define “sale,” “sharing,” or “targeted advertising” more broadly and may treat certain advertising or analytics disclosures as regulated activity even when no money changes hands.
If HaulLynx engages in activity that applicable law treats as a sale, sharing, or targeted advertising, we will provide the required notice and a method to opt out. Where legally required and technically supported, we will treat a recognized opt-out preference signal, such as Global Privacy Control, as a request for the browser or device sending the signal.
We do not knowingly sell or share the personal information of children under 16.
6. Cookies and Similar Technologies
We and our providers may use cookies, pixels, local storage, software development kits, and similar technologies to:
- keep you signed in and remember preferences;
- operate core features and maintain security;
- understand usage and performance;
- diagnose errors and prevent fraud; and
- support communications, analytics, or advertising where permitted.
You may control some technologies through browser, device, or in-product settings. Blocking essential technologies may prevent parts of the Services from working. Where required, we provide consent or preference controls for nonessential technologies.
7. Data Retention
We retain personal information for as long as reasonably necessary for the purposes described in this Policy, including to provide the Services, maintain transaction and operational records, comply with legal and regulatory obligations, resolve disputes, enforce agreements, prevent fraud, and protect the Services.
Retention periods vary based on the type of information, the relationship, account status, legal requirements, safety and fraud considerations, and whether information is needed to establish or defend legal claims. We may retain deidentified or aggregated information where permitted by law.
8. Security
We use administrative, technical, and physical safeguards designed to protect personal information. These may include access controls, encryption, logging, monitoring, environment separation, and vendor-management practices appropriate to the information and risk.
No method of transmission or storage is completely secure. You are responsible for protecting your credentials, devices, and account access and for promptly notifying us of suspected unauthorized use.
9. Your Choices and Privacy Rights
Depending on where you live and subject to legal exceptions, you may have the right to:
- know or confirm whether we process your personal information;
- access or obtain a copy of personal information;
- correct inaccurate personal information;
- delete personal information;
- obtain a portable copy of certain information;
- opt out of sale, sharing, targeted advertising, or certain profiling;
- limit certain uses or disclosures of sensitive personal information;
- withdraw consent where processing relies on consent; and
- appeal our decision on a privacy request.
You may also manage certain account, communication, location, cookie, and integration settings through the Services or your device. You can unsubscribe from promotional email using the link in the message. We may still send non-promotional account, transaction, legal, or security communications.
To exercise a privacy right, contact legal@haullynx.com. We may need to verify your identity and authority before completing a request. Authorized agents may submit requests where permitted by law, but we may require proof of authorization and identity. We will not unlawfully discriminate against you for exercising a privacy right.
If we deny a request, you may appeal by emailing legal@haullynx.com with “Privacy Appeal” in the subject line.
10. California Privacy Notice
This section supplements the rest of this Policy for California residents and uses terms defined by the California Consumer Privacy Act, as amended (“CCPA”).
Depending on your relationship with HaulLynx, we may collect the following CCPA categories: identifiers; customer-record information; characteristics protected by law; commercial information; internet or electronic-network activity; geolocation data; audio, electronic, visual, or similar information; professional or employment-related information; sensitive personal information; and inferences.
We collect these categories from the sources described in Section 1, use them for the purposes in Section 2, and disclose them to the recipients described in Section 4. The applicable retention criteria are described in Section 7.
Sensitive personal information may include account credentials, precise geolocation, government identifiers, financial-account information, and certain identity or verification information. We use and disclose sensitive personal information to provide requested services; verify and secure accounts; process transactions; maintain safety and integrity; comply with law; and for other purposes permitted without a right to limit under the CCPA. If we use sensitive personal information to infer characteristics or for another purpose that triggers a right to limit, we will provide the required notice and choice.
California residents may exercise the rights described in Section 9 and may opt out of any activity treated as sale or sharing as described in Section 5. We do not offer a financial incentive or price difference in exchange for personal information unless we provide a separate notice describing its material terms.

11. Other U.S. State Privacy Rights
Residents of other states may have similar rights, including rights to access, correct, delete, or obtain personal information and to opt out of targeted advertising, sale, or certain profiling. The rights and exceptions vary by state. Submit requests and appeals as described in Section 9.
12. Children’s Privacy
The Services are designed for businesses and adults and are not directed to children under 13. We do not knowingly collect personal information from children under 13. If you believe a child has provided personal information, contact us so we can investigate and take appropriate action.
13. U.S. Processing and International Users
HaulLynx is based in the United States, and personal information may be processed and stored in the United States and other countries where we or our providers operate. Those countries may have different privacy laws from your jurisdiction. Where required, we use appropriate safeguards for cross-border transfers.
14. Third-Party Services and Links
The Services may link to or integrate with third-party websites, applications, or services. Their privacy practices are governed by their own notices, not this Policy. Review those notices before providing information or enabling an integration.
15. Changes to This Policy
We may update this Policy from time to time. We will post the updated Policy and change the “Last Updated” date. If a change is material, we will provide additional notice when required by law. Your continued use of the Services after the effective date of an update is subject to the updated Policy, to the extent permitted by law.
